MANITOBA RULES

Manitoba payroll rules to get right

For employers across Manitoba, including Winnipeg, Brandon, Steinbach, Thompson and Portage la Prairie.

Manitoba’s vacation guidance treats time off and vacation pay as separate things. The general minimum moves from two weeks to three after five consecutive years with the employer, with vacation pay at 4% and 6%. Check the entitlement year and the applicable rules rather than adjusting a balance from a calendar-year label.

A line that says “vacation paid” does not show how much time was taken, so keep the time record and the money record side by side. That helps most when one person approves leave and another prepares payroll.

ILLUSTRATIVE EXAMPLE

Example: a long-serving part-time employee

Suppose a Brandon retailer has an employee who has worked part-time for several years, and a new preparer inherits a spreadsheet that applies one vacation percentage to everyone. Fewer weekly hours do not mean the employee never reaches the higher service tier, so the preparer checks the service history and the applicable entitlement.

The owner reviews the opening balance and the treatment going forward, and any past discrepancy gets its own documented fix. This is a fictional review scenario, not a finding that an employer owes an adjustment.

QUESTIONS

Manitoba payroll FAQ

Should importing an employee reset their service date?

No. Keep and verify the actual service history when setting up payroll. The date a profile was created in software does not replace the employment records used to work out entitlements.

Is manual payroll free in Manitoba?

Yes. Manual payroll has no PayHr service fee. Optional automation and document filing have the charges described on this page, and you remain responsible for completing and checking your chosen workflow.

What does PayHr cost for a Manitoba business?

There is no monthly fee. Manual payroll is free and includes unlimited employees, contractors and pay runs; you arrange the payments and remittances yourself. Automated payments cost $6 per person per automated pay run. For example, four employees on one automated run come to $24, and a manual run costs $0. Optional ROE filing is $5 per document and T4 or T4A filing is $15 per document. Prices are in CAD, and wages, taxes and remittances are separate.

Does PayHr support Quebec?

No. PayHr supports payroll in every Canadian province except Quebec, so this page is for Manitoba employers and for businesses whose employees work in the other supported provinces.

Can I switch to PayHr in the middle of the year?

Yes. Make a migration worksheet with each employee’s original start date, the source of each opening balance and the date it was checked. Do not replace a long-serving employee’s hire date with the date they were added to PayHr, and settle any difference between reports before the first live run.
