Terms of service
Clear expectations for using PayHr and managing your business workspace.
This is a review draft, not an effective agreement. Business address, governing law, service commitments and final liability terms still need confirmation before public adoption.
1. About these terms
These draft terms describe the proposed agreement between Payhr (“PayHr”, “we”, “us”) and the business or person using the service (“you”). A person acting for a business must have authority to bind it. The final terms and their effective date must be published before they are relied on as a service agreement.
2. Your account and workspace
Provide accurate account and business information, protect your email and sign-in methods, and use individual accounts. You are responsible for granting appropriate access to your workspace, maintaining current employee information, and promptly removing access that is no longer needed. Notify us if you suspect unauthorised account access.
3. Payroll responsibilities
PayHr provides software to organise payroll information, calculate supported payroll scenarios and prepare records. You remain responsible for checking inputs, employee classifications, tax settings, opening balances, calculations, deadlines and filings. Software does not replace accounting, tax, legal or employment advice.
Approving payroll is not confirmation that wages have been transferred, taxes remitted, or a document accepted by a government agency. Verify each payment, remittance and filing separately. Features and jurisdiction coverage are limited to what is available in your workspace.
4. Free Plan and optional fees
The Free Plan includes unlimited employees, contractors and manual payroll. Optional automated employee, contractor and tax payments cost $6 per employee or contractor per automated pay run and are billed monthly with optional filing fees. The existing Stripe/GoCardless automated-payment setup charge is $25 once per workspace/business. Automatic ROE costs $5 per document; automatic T4 and T4A cost $15 each. Prices are in CAD before applicable taxes. Confirm service availability and the displayed fees before authorizing a service. Service fees do not fund wages or tax remittances.
5. Billing questions
Manual payroll has no subscription to cancel. Optional usage already authorized remains payable. Contact support about billing adjustments. Stopping future automated services does not cancel bank debits already submitted or erase record-retention obligations.
6. Your data and permitted use
You retain rights in the information you provide. You authorise PayHr and necessary service providers to process it to deliver, secure and support the service. You must have authority to provide employee and business data and give any required notices or obtain required consents.
Do not use PayHr for unlawful payroll activity, unauthorised access, malicious content, interference with other users, or collecting information you are not entitled to handle. Do not upload health records or payment-card data into payroll documents or support messages.
7. Service access and changes
Service availability can be affected by maintenance, providers and events outside our control. No uninterrupted-service guarantee or uptime commitment is stated here. We may restrict access where reasonably needed to protect users or address misuse or unpaid charges. Where practical, we will explain the issue and available next steps.
Material changes to final terms should be communicated with an updated effective date. New paid services and charges must be disclosed before purchase.
8. Liability and legal rights
PayHr does not guarantee that every payroll scenario is supported or that every input is correct. Nothing in these draft terms excludes rights or responsibilities that cannot lawfully be excluded. Any liability allocation, dispute process and governing-law clause must be approved for the final agreement; no unconfirmed liability cap or mandatory arbitration clause is imposed by this draft.
